What do the check statuses mean, and what must the club do for each?

The Office of the Children's Guardian lists these statuses for organisations:
- Cleared: the person holds a clearance valid until the listed expiry date, 5 years out. The club keeps a record of name, date of birth, clearance number and expiry date.
- Application in progress: the application is being processed. Once the person gets a WWCC number, the club verifies the clearance and records the full name, date of birth, clearance or application number and expiry date.
- Interim barred: barred on an interim basis during a risk assessment. The club must remove the person from child-related work until it verifies they are no longer interim barred and hold a clearance or current application.
- Barred: the person is barred from working with children and it is an offence to engage them in child-related work. The club must remove them from child-related work.
- Not found: no matching entry, usually because of an error in the details or an incomplete application or renewal. The club must not employ the person in child-related work, and should check the number and details are correct.
- Expired: the club must not employ the person in child-related work until it verifies a valid, current application or clearance.
- Closed: the application is no longer being progressed, for example because of a bar in another state or territory, a duplicate application or missing information. The club must not employ the person in child-related work. If eligible, they must reapply and give the club the new number.
For every status the OCG says to keep a record of the actions taken.
